Refund & Cancellation Policy

Clear timelines, conditions, and process

This policy explains how cancellations and refunds are handled for programs, digital materials, and scheduled sessions in Japan (JP).

Definitions

  • “Program”: a multi-session cohort, workshop series, or course bundle.
  • “Session”: a scheduled live meeting (group or 1:1) facilitated by XyroNow.
  • “Digital content”: downloadable or streamed materials (workbooks, videos, templates).
  • “Start date”: the first scheduled session date/time or the date access is granted, whichever comes first.

Refund eligibility (general)

Refund eligibility depends on the type of purchase (program, session, or digital content) and how much of the service has been delivered. This policy aims to be fair while reflecting facilitation and preparation time.

  • Refunds apply to amounts actually paid, excluding non-refundable processing fees where applicable.
  • Refunds are issued to the original payment method when possible.
  • Local mandatory consumer rights may override parts of this policy.

Cancellation timelines

Programs (multi-session)

  • 14+ days before start: eligible for a refund minus any non-refundable fees (if applicable).
  • 3–13 days before start: partial refund may apply due to preparation and reserved capacity.
  • 0–2 days before start: generally not refundable, except where required by law.
  • After start: generally not refundable once access is granted and/or sessions begin, except for exceptional cases.

Single sessions

  • 48+ hours before session: cancel for a refund or reschedule option (subject to availability).
  • Under 48 hours: generally not refundable; reschedule may be offered at our discretion.

Digital services & content

Digital content and access-based services may become non-refundable once access is granted, downloaded, or meaningfully used, because delivery is immediate.

  • If access has not been granted, refunds may be possible.
  • If access has been granted but you cannot access the content due to a technical issue on our side, we will work to fix it or provide an appropriate remedy.
  • If you accidentally purchased the wrong plan, contact us promptly; we may offer a plan change when feasible.

Exceptions and non-refundable cases

Refunds may be denied in cases such as:

  • Abuse, harassment, or policy violations resulting in termination of access.
  • Repeated no-shows for scheduled sessions (unless rescheduling was requested in time).
  • Requests made after extensive delivery of services or completion of a substantial portion of a program.
  • Fraudulent payment activity or chargeback abuse.

How to request a refund

  1. Send a request via Contact with the subject: "Refund request".
  2. Include your name, the email used at purchase, the program/session name, and the reason for the request.
  3. We may ask for minimal verification to locate the transaction (avoid sending sensitive information).

We typically confirm receipt and provide next steps. Processing time can vary depending on payment method and local banking timelines.

Disputes

If you disagree with a decision, reply to our response with additional context. We aim to review disputes fairly and document outcomes. Mandatory consumer protections may provide additional avenues.
